Collection of your Personal Data

We do collect Personal Data on our Website when you interact with us. In particular:

Making a Travel Booking: when you purchase a travel product through our website we will collect a variety of Personal Data depending on the product. This may include:

  • Your name (first and last)
  • A contact email address for you
  • The town or city and country that you are from
  • Contact phone numbers (both In New Zealand and abroad)
  • The travel product you have booked or are enquiring about including the number of people you will travel with, in some cases the names of the other people you will travel with, your date or birth or age, the date of your travel, where you are to be picked up from by the travel operator (which may be the hotel you are staying in) and the price of the travel product; and
  • Your credit card details for payment

We also ask you voluntary marketing questions about where you are travelling in New Zealand and how you found out about us which we use in aggregate with other data to make business decisions on products and advertising.

Making an enquiry: when you make an enquiry via our onsite webforms we collect your name and email address. We receive this information via an email form and also store this data within our web server. We also will collect and store any phone numbers or messages you optionally send to us; and also we store if you have opted in to our newsletter database. Our reservations consultants will communicate back and forth with you via email and phone conversations. We do not record the phone conversations and the communications are only stored in our email server (which is Gmail).

ClickDesk Live Chat: On our Website we have a Live Chat widget provided by ClickDesk which will ask you for your name and email address when communicating with us. This Personal Data is accessed via the ClickDesk web and mobile applications. After we have completed servicing your enquiries we do not store your email address or name in any other application.

We display content from other external platforms on our website that may collect non-personal identification information about your usage whenever you interact with our Websites. Non-personal identification information may include, but is not limited to, the browser name, operating system, IP address, versions, the type of computer and other technical information about your device and software. You are advised to consult the Privacy Policies of these services independently. These are:

Our usage of your Personal Data

Without the above prescribed Personal Data we would be unable to provide you with the Services you request. In order to operate our business efficiently we do, both manually and automatically, move your Personal Data between our systems. These systems include:

IBIS Travel Reservations System: we use the IBIS System to record all travel bookings made on your behalf. We transfer your name and email address and information directly pertaining to your booking such as product, date of travel, as outlined above into this system. The server and database holding your Personal Data is hosted in Christchurch, New Zealand at Oxygen IT.

Feefo Reviews: Everything Travel Group uses the independent third-party review platform called Feefo. We automatically send your name and email address, the product you purchased and your travel dates to Feefo when you make a booking. Feefo will send you an email after you have travelled asking you to review your experiences. If you review the product Feefo retains this information on our behalf to show the reviews on your website. If you choose not to review your experience your information is removed from Feefo. Feefo is a data aggregator on behalf of Everything Travel Group and does not access your Personal Data in anyway for their own business purposes. You have the option of displaying your name or leaving an anonymous review. You have the right to request data on the feedback they have provided on the Feefo platform at any time, and may request via Feefo support that your review be erased at any time. Feefo will comply with the request within 3 working days and confirm via email that the request has been completed. The Feefo data is processed and stored in The UK Sovereign Data Centre. All Personal Data that you provided as prescribed above remains in our website database.

Above and beyond making the necessary travel reservations on your behalf, we use your Personal Data to:

  • Improve our customer service to you. Information you provide helps us respond to your customer service enquiries and support needs more efficiently;
  • Personalise the response our reservations consultants provide to you. Your data helps us to ensure that we are providing you the best possible travel advice and information to match your requirements;
  • Improve our Service. We may use feedback you provide to improve our Services. We may use information in the aggregate to understand how our Customers as a group use our Website and all channels of communication. We use it to diagnose and fix problems you might have while using the Website;
  • Process payments. We may use the information you provide when making a travel reservation to provide service to that order. We do not share this information with outside parties except to the extent necessary to provide the service as outlined above.

Sharing your Personal Data

Everything Travel Group SHARES your Personal Data with the travel operators that you make travel reservations with via our Website, email interactions between you and our reservations consultants, and telephone. The Personal Data is used for the purpose of providing you with your travel itinerary and could be the full extent of the data that you provide us as outlined above.

Everything Travel Group does not share your Personal Data beyond the requirements of booking your travel reservations on your behalf.

How we protect your Personal Data?

We do everything possible to protect your data. This includes but is not limited to HTTPS/SSL, SSH and other encryption protocols for data access. Sensitive and private data exchange between our Websites and any Third Party solutions as detailed above happens mostly over a HTTPS/SSL secured communication channel and is encrypted and protected with digital encryption keys. Our servers are protected by firewalls.

The payment processing of your credit cards is provided by Payment Express (DPS) who are international recognised and certified for this payment solutions which at minimum must comply with PCI standards.

We adopt appropriate data protection, storage and processing practices and security measures to protect against unauthorised access, alteration, disclosure or destruction of your Personal Data, passwords if any, transaction information, any content and data stored on our servers. However, no security or encryption method can be guaranteed to protect information from hackers or human error, so our Services are provided on an “as is” and “as available” basis.
